Somewhere in an office kitchen right now, someone is making a perfect flat white.
And they are loving it.
In short
- Lattes, cappuccinos and flat whites are what many people want, and modern bean to cup machines make them at the touch of a button.
- 70% of employees say better quality coffee lifts their performance, yet the range at work scores 4.8 out of 10.
- Fresh milk machines give coffee shop texture; powdered milk suits sites without a fridge nearby.
- Keep milk at 0 to 5°C, follow the machine manufacturer’s refrigeration instructions, clean the milk system daily and use the oldest milk first.
- Offer a barista plant milk, decaf and tea, and give the main users a ten minute handover when the machine arrives.
Milk drinks are what people want
Walk into any coffee shop and look at the menu. Lattes, cappuccinos and flat whites are the stars, and for many people a milky coffee is the drink that starts the day.
Now that same experience is arriving at work. Modern bean to cup machines grind fresh beans and steam milk at the touch of a button, so the drinks people love on the high street are ready in the office kitchen.
It is a lovely upgrade. World Coffee Portal’s Coffee At Work Report UK 2026 found that 70% of employees say better quality coffee lifts their performance. Yet the range on offer at work scored just 4.8 out of 10 with employees. Great milk drinks are one of the quickest ways to close that gap.
Fresh milk or powdered?
Office machines come in two styles.
Fresh milk machines steam real milk into silky foam for drinks that taste like the coffee shop. They are the choice for teams who love their lattes.
Powdered milk machines use a dry topping. They suit some places, such as sites without a fridge nearby.
For most offices that want coffee shop quality, fresh milk is the star. And with a little daily care, it is easy to manage.
Keeping fresh milk fresh
Here is the simple routine that makes fresh milk drinks a joy:
- Keep it cold. The Food Standards Agency says fridges should be set between 0 and 5°C. Many machines use a small milk fridge alongside.
- Keep it short. Keep milk out of the fridge for the shortest time possible and follow the machine manufacturer’s refrigeration instructions. Any applicable four hour exception is a one off limit, not a routine milk storage practice.
- Clean it daily. Run the automatic milk clean after the last drink and wash the removable milk parts as the manual says.
- Rotate it. Use the oldest milk first and keep an eye on dates.
Follow the machine manual for the daily milk system cleaning procedure.
Something for every taste
Great milk drinks are about choice. Offer a plant milk alongside dairy, and oat, soya or almond drinkers can join the coffee round too. Look for barista versions of plant milks, which are made to foam beautifully.
Add decaf and tea to the menu and nobody is left out. The European Food Safety Authority says healthy adults can have up to 400mg of caffeine a day, and a mix of drinks helps everyone pace their day.
A little bit of theatre
There is something joyful about watching milk swirl into a cup. It turns a coffee break into a small treat.
Some offices take it further with a latte art morning, a tasting session or a “coffee of the month”. It is a simple way to bring people together and add a bit of fun to the week.
Why it matters
The coffee shop down the road has built a whole culture around milk drinks. Bringing that same quality into the office means people get their favourite drink without leaving the building, and the conversations happen in your own kitchen.
It is a small thing that makes the working day feel better, and that is exactly what great workplaces are built on.
Ten minutes of training, a year of great coffee
The secret to brilliant milk drinks at work is not complicated. It is a short, friendly handover.
When the machine arrives, gather the people who use it most and walk through the basics together: filling the beans, connecting the milk, choosing a drink, and running the end of day clean. Ten minutes is usually enough.
Then pin a simple card by the machine with the daily steps, and name an owner and a deputy so the routine never slips.
The payoff is huge. Every colleague can make a silky flat white with confidence, the machine stays spotless, and the milk always tastes fresh. It turns a piece of kit into something the whole team enjoys and looks after together.
